Meet Louise: The Admin Whisperer
Nonprofit Operations Consultant | Author | Future Grandmother (Calendars Already Color-Coded)
In the 1980s, while most teenagers dreamed of being rock stars, I was sixteen years old, perched in front of my grandmother’s magnificent typewriter, discovering the craft of administration. Something clicked so loudly I’m surprised the neighbours didn’t hear it. That typewriter still sits in my home today—a reminder that I commit fully to my decisions, and that I am absolutely winning the antique office equipment category of any home tour.
What followed was a 40-year career as an operational architect: 35 years navigating the Canadian Federal Public Service and 25 years building systems in the nonprofit sector—because apparently, one demanding career at a time felt too restful. Through every role, my mission has remained the same: to transform organizational chaos into a high-performing, glassy surface where missions can finally glide.
What Can I Do for You?
I help nonprofit leaders trade administrative chaos for calm, documented order. In practice, that usually looks like one of three things:
I turn tribal knowledge into documentation. The processes living in one person’s head become clear standard operating procedures (SOPs) your whole team can follow.
I give leaders their time back. Through coaching or acting as a fractional COO in your back pocket, I free up leadership time and take administrative fires off your Executive Director’s plate.
I strengthen governance and continuity. Board packs, minutes, records, and succession planning — the infrastructure that keeps you audit-ready and protects your institutional knowledge.
Need Advice?
Not sure where to start? Let’s talk it through.
Whether you’re facing a leadership transition, drowning in processes that live in one person’s head, or you just want a second opinion on how your operations are running, I’m glad to help.
My Expertise: Where Strategy Meets the “Engine Room”
I specialize in the intersection of governance, technology, and operational architecture. Specifically, I help leaders:
- Replace “tribal knowledge” with resilient, scalable documentation systems (the Living Manual methodology)
- Implement Tech Stewardship—transforming digital chaos into streamlined CRMs and centralized Knowledge Hubs
- Build organizational immune systems that protect institutional memory from collective amnesia
- Coach administrative professionals to step into their role as strategic partners, not just task-executors
- Act as a Strategic Shield for Executive Directors—protecting leadership time from being derailed by operational gaps
When retirement arrived, I did what any reasonable person with 40 years of expertise and zero interest in slowing down would do: I launched Admin Pro LB and wrote The Admin Whisperer—a field guide for nonprofit leaders who are done gambling their mission on luck and institutional memory.
How I Work With You
Every engagement starts with understanding the problem before proposing a fix. I break a complex challenge into its moving parts and build a clear, step-by-step plan to work through each one — with realistic timelines, resources in the right places, and steady progress you can actually see. Having worked with a wide range of organizations, I draw on what’s worked elsewhere and adapt it to your situation rather than forcing a template onto it.
No two organizations are the same, so I take time to understand your goals, your pressures, and the realities of your sector before recommending anything. When something unexpected comes up mid-project — and it usually does — I stay flexible and adjust course quickly, keeping things moving with as little disruption as possible. Throughout, we stay in close contact: clear milestones, regular updates, and simple tools so you’re never left wondering where things stand.
We define what success looks like together at the outset and measure against those goals as we go, so the value of the work stays visible. I keep an eye on cost-effectiveness too — making smart use of your resources and technology so you get real results without unnecessary spend. And I don’t want you dependent on me: I share knowledge, provide training, and leave you with documentation your team can maintain and build on long after I’m gone.
Finally, your confidentiality matters. I handle sensitive information with strict care and professionalism, and I’ll sign a confidentiality agreement whenever that gives you peace of mind. Good work isn’t only about the solutions offered — it’s about the integrity behind them.
